You may have some applicants asking how to detach a file that is attached to a Media Library Selection page or how to make a media file “uncommitted.” Media that is attached to an In Progress form will be “committed” in the applicant’s Media Library. An item that is committed cannot be modified or removed from the library. Detaching the media from the In Progress form will uncommit the item. Submitting the application will also uncommit the file. When a form is submitted, a copy of the media is created and attached, which “frees up” the original media to be modified or removed from the library without changing the submission on record.

If you’re asking your applicant to detach their media, they will need to do the following:

  1. Login to the applicant portal at [domain].gosmart.org.
  2. Navigate to the Current Programs & Applications tab.
  3. Locate the cycle in question and click the link to enter the form (they will need to be in the appropriate status. If they have already submitted and the deadline has not passed, the admin will need to set their status to Incomplete. If the deadline has passed, the admin will need to set their status to Exception).
  4. Navigate to the Media Library Selection page in the table of contents (this is the page that requires applicants to use the Attach [Media] buttons, see image below).
  5. Click the Attach [Media] button for the appropriate media type that needs to be detached.
  6. Uncheck the box next to the media that needs to be detached.
  7. Click Save.
  8. Leave the application and the changes will be made and saved.

If you’re detaching a media file as an admin (while logged in as the applicant), you will need to do the following:

  1. While logged in as an admin, navigate to Grant Manager > Grant Manager.
  2. Select the program and cycle.
  3. Locate the application(s) in question.
  4. Click the Login button.
  5. In the tab where you are now logged in as the applicant, navigate to the Current Programs & Applications tab.
  6. Locate the cycle in question and click the link to enter the form.
  7. Navigate to the Media Library Selection page in the table of contents 
  8. Click the Attach [Media] button for the appropriate media type that you want to detach.
  9. Uncheck the box next to the media you want to detach.
  10. Click Save.
  11. Leave the application and the changes will be made and saved.
